This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by Bishop Trains or our processing partners. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it, and how to exercise your rights in relation to it.

You may give us information about you by filling in forms on www.ba-rail.co.uk or contacting Bishop Trains directly. This includes information you may provide, but is not limited to the following activities;

Filling in a form on our Website or contacting us via phone, email or another method
Subscribing to our services
• Opening or clicking any emails or push notifications we send you
• Registering and consenting to receive marketing information
• Registering to buy ticket(s)  
• Browsing our Website 
• Purchasing ticket(s)

The information you may give us may include, but it is not limited to the following:

• Bank details for refund claims
• Transaction meta data (e.g. journey details)
• Relevant rail discount or loyalty cards
• Limited amount of personal data of any other passengers you are booking tickets for
• Personal descriptions and photographs
• CCTV information (see below for more details about this)
• We don’t collect age information (except in the case of alcohol-related competitions, promotions or sales), but it is possible that this would be provided to us by law enforcement agencies/rail station operators, or in the course of ticket examinations carried out by authorised staff where a breach of Railway laws has occurred.
• How you interact with our communications, such as: which emails you opened or clicked a link within, and how long the email was opened for; where you are when you interact with our messages; and what type of device, model and operating system you’re using.

Passive Collection of Information
We do not collect or process anonymous information about your use of the Booking Service or our website. We do not share anonymous information about your use of the Booking Service or our website with third parties for analytical purposes.

Cookies
We and our trusted partners use cookies and other technologies in our related services, including when you visit our Site or access our services. 
A "cookie" is a small piece of information that a website assigns to your device while you are viewing a website. Cookies are very helpful and can be used for various different purposes. These purposes include allowing you to navigate between pages efficiently, enabling automatic activation of certain features, remembering your preferences and making the interaction between you and our Services quicker and easier. You may remove the cookies by following the instructions of your device preferences; however, if you choose to disable cookies, some features of our Site may not operate properly and your online experience may be limited.

We use a tool which is based on the Snowplow Analytics technology to collect information about your use of the Site. The tool collects information such as how often users access the Site, which pages they visit when they do so, etc. The tool does not collect any Personal Information and is only used by our Site hosting and operating service provider to improve the Site and services.

CCTV at our premises
We use CCTV at our premises in order to:
  • prevent, deter and detect crime
  • apprehend and prosecute offenders, and provide evidence to take action in the courts
  • help provide a safer environment for our staff
  • protect public safety
  • monitor operational and safety-related incidents
  • assist with the verification of claims.
You have the right to make a request for access to CCTV images of yourself and to ask for a copy of them.

We reserve the right to withhold information where permissible by the applicable data protection laws, and we will only retain CCTV images for a reasonable period (this means 28 days or less) or for longer as is required by law or to protect our own legitimate interests.  In certain circumstances, we may need to disclose CCTV images to law enforcement agencies. When this is done, there is a statutory requirement for the organisation that has received the images to adhere to the relevant data protection laws.

Use of Information
Your personal information submitted to us is used for operational purposes only, for example, producing tickets, processing payments (including fraud screening) or confirming orders.

You use our booking service without logging in or registering as a user.  

Sharing of Information - Third Parties
We may share your personal information with third parties for the purpose of (a) processing a booking reservation, hotel, other travel product or otherwise in relation to fulfilling a booking you have made via the Booking Service; (b) for the purpose of alerting you about your booked journeys; (c) for processing payment (including fraud screening).

If you book a Eurostar ticket we will share with SNCF/Eurostar the name and date of birth of you and any other passengers who you are booking tickets for, together with your email address - these details are required by Eurostar in order to issue each ticket and provide you with service information.

If you book a ticket for travel in continental Europe or Worldwide we share the name and passport details of each passenger with SNCF/ACP Rail and the transport carrier – this is required in order to issue each ticket. Transport carriers in continental Europe also require us to share the date of birth of any youth (aged 0 – 25) with them before they can issue a youth ticket.

If you book a ticket for coach travel we will share the name of the lead passenger, or, if required, the name of each passenger with the transport carrier – this is required in order to issue each ticket.  

Transport carriers may also require us to share your address and/or telephone number with them before they can confirm your booking.

Bishop Trains third party service providers may further use your personal information (a) for analysis and market research related services; (b) to carry out survey related activities with you; and (c) for the purpose of alerting you about your booked journeys; and (d) to contact you about new features, services, products and special offers ("Marketing Information") in line with any consent that you have provided. If you initially wish to receive such material but you change your mind later, you may tell the third party by using the "Contact Us" section of their website.

Sharing of Information - The Authorities
In some circumstances we have a legal obligation to share parts of your personal data with police or customs authorities, regulatory authorities, government & law enforcement agencies. This may include, but is not limited to, fraud prevention and detection.
We may also disclose your personal data to any competent law enforcement body, regulator, government agency such as Rail North, the Department for Transport (DFT) or other third party where we believe disclosure is necessary (i) as a matter of applicable law or regulation; (ii) to exercise, establish or defend or legal rights; or (iii) to protect your vital interests or those of any other person;

Use of location data
We do not use or collect information about your location or approximate location may be used by our Booking Service from Internet traffic information, such as your IP address.

Security
We take the security of your data very seriously. We employ physical, electronic and administrative security measures to protect the information that we collect about you from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage. You acknowledge and agree that we shall not be responsible for any unauthorised use, distribution, damage or destruction of personal data, except to the extent we are required to accept such responsibility by the data protection laws.

Links to third party Internet sites
Our Website may contain links to other sites and sources of information. By clicking on these, you will leave our Website or Mobile Application (as appropriate) and this Privacy Policy will not apply to your use of any other sites.

Changes to this Privacy Policy
There may be changes in how we use your data. All such changes will be notified to you by updating this Privacy Policy.

Access to Personal Information

We are entitled by law to charge an administrative fee to meet our costs in providing you with such details and we may require proof of your identity before we supply the information to you.
